Quality Documentation for Industrial Valves & Fittings
Learn what quality documents to request when sourcing industrial valves and fittings, including material certificates, test records, traceability and product documentation.
What Quality Documents Should You Request for Industrial Valves & Fittings?
When an industrial fitting or valve arrives, appearance alone cannot confirm its material, pressure capability or compliance with a project specification.
For distributors, OEMs, system integrators and project buyers, documentation is therefore part of the product requirement—not paperwork to think about after the order.
The important question is not:
“Do you have certificates?”
It is:
“Which documents are required for this product and this application, and what does each document actually verify?”
Here are the main documents buyers may need to consider.
1. Material Test Certificate / Material Test Report
A Material Test Certificate (MTC) or Material Test Report (MTR) is used to document material properties and traceability.
Depending on the applicable specification and certificate type, it may contain information such as:
- material grade and specification;
- heat or lot number;
- chemical composition;
- mechanical properties;
- heat-treatment information where applicable;
- product or order references.
For metallic products, EN 10204 is commonly referenced when inspection documents are specified. A Type 3.1 inspection certificate, for example, includes specific inspection results and is validated by an authorized inspection representative independent of the manufacturing department.
An important distinction:
A material certificate verifies material-related information. It does not by itself prove the performance of the finished valve or fitting.
If pressure testing, leakage testing or another finished-product test is required, that requirement should be specified separately.
2. Certificate of Conformity
A Certificate of Conformity (CoC) generally states that the supplied products conform to the referenced purchase requirements or specifications.
It can be useful for order documentation, but it should not automatically be treated as equivalent to an MTC or a detailed test report.
For example:
- a CoC may declare conformity;
- an MTC/MTR may provide material-specific test data;
- a test report may record results from a defined inspection or test.
These documents answer different questions.
Before ordering, specify which one is actually required.
3. Pressure or Functional Test Records
For valves and other pressure-containing components, some applications or project specifications may require test documentation.
A useful test record should clearly identify:
- the product or batch tested;
- applicable test procedure or standard;
- test medium;
- test pressure;
- test duration where relevant;
- acceptance criteria;
- test result.
Do not assume that every product requires the same test.
A needle valve, quick coupling, tube fitting and hose assembly can have different construction, applicable standards and verification requirements.
The required testing should therefore be agreed against the actual product and application.
4. Material and Batch Traceability
Traceability is useful only when the documentation can be connected to the supplied product.
Depending on the product and project requirements, this connection may involve:
- heat number;
- lot or batch number;
- product marking;
- inspection record;
- packing or order reference;
- serial number for products where serial identification is used.
A certificate with no clear relationship to the supplied material or product provides limited verification value.
For project procurement, define the required level of traceability before production or order confirmation, rather than requesting it after shipment.
5. Product Datasheets and Drawings
Certificates are only one part of technical verification.
Before approving an industrial fluid-system component, buyers may also need a datasheet or dimensional drawing covering information such as:
- connection type and size;
- materials of construction;
- dimensions;
- pressure and temperature ratings;
- seal or seat material;
- flow configuration;
- operating characteristics.
This is especially important when replacing an existing component.
Two products that look similar—or even share the same nominal connection size—are not automatically interchangeable.
6. Compliance and Third-Party Certificates
Some applications require compliance with a particular regulation, standard or customer specification.
Examples may include requirements related to:
- pressure equipment;
- material specifications;
- emissions;
- fire-safe design;
- sour service;
- oxygen or high-purity service;
- industry-specific approvals.
The key rule is simple:
Request the exact certificate or compliance evidence required by the project rather than asking for “all certificates.”
Also verify:
- who issued the document;
- which product or manufacturing scope it covers;
- which standard and edition it references;
- whether it is currently valid;
- whether the supplied product is actually within that scope.
A company-level management-system certificate, for example, is not automatically a product approval.
7. Define Documentation Before the Purchase Order
One of the easiest ways to create delays is to discuss documentation only after the goods are ready.
If documentation matters to the project, include it in the RFQ or purchase specification.
A useful documentation requirement might identify:
Product → Material → Required certificate → Required testing → Traceability level → Applicable standard
For example:
316L stainless steel valve, EN 10204 Type 3.1 material documentation required, with heat-number traceability. Additional test documentation to be confirmed against the project specification.
This is much clearer than:
“Certificate required.”
A Practical Buyer Checklist
Before placing the order, confirm:
- What material grade is required?
- Is an MTC/MTR required?
- Is a specific EN 10204 document type required?
- Is a CoC required?
- Are pressure or functional test records required?
- Is heat/lot traceability required?
- Are drawings or datasheets required for approval?
- Does the project specify a particular standard or third-party certification?
- Must documentation reference the PO, project or line-item number?
The answer will vary by product and application.
More documentation is not automatically better. The right documentation is documentation that verifies the requirements that actually matter to the application.
